Tozai Sogo Law Office (Partnership under the Japanese Civil Law, Kumiai, hereinafter referred to as “TSLO”), as a business operator handling personal information, has established and will comply with this personal information protection policy for the treatment of personal information in accordance with the Act on the Protection of Personal Information of Japan (hereinafter referred to as the “Personal Information Protection Act”) and other related legislation.
1. Acquisition of Personal Information
TSLO will acquire Personal Information in the necessary scope, and in an appropriate and fair manner.
2. Purposes of Use of Personal Information
TSLO will use Personal Information within the scope of the purposes set out below and for other purposes separately notified or announced, in addition to those approved by law or ordinances.
(i) Personal Information obtained for the provision of legal services:
- to provide legal services,
- to respond to and/or take actions for various inquiries, etc.,
- to send season’s greetings, including emails, etc. and
- other purposes relating to the purposes described above.
(ii) Personal Information relating to attorneys, staff or interns, etc. (including applicants):
- to provide information, or to contact applicants,
- to conduct recruitment,
- to make arrangements relating to attorneys, staff or interns, etc. (HR, tax and welfare) and
- other purposes relating to the purposes described above.
3. Arrangement for Safe Management of Personal Data
To ensure the safe management of Personal Data, TSLO will provide instructions and supervise its attorneys and staff, and any third parties if any service to handle Personal Data, in whole or in part, is outsourced, as necessary and appropriate. TSLO will take all necessary measures to prevent the disclosure of Personal Data.
4. Provision of Personal Data to Third Parties
TSLO will not provide Personal Data to any third parties without the prior consent of the person identified by the Personal Data, or unless authorized or approved by law or ordinances.
5. Joint Use of Personal Data
TSLO may jointly use Personal Data held by TSLO, with Tozai Sogo Legal Service YK, for the purposes set forth in Section 2 above.
6. Request Procedure for Disclosure, Correction, Deletion, Discontinuation of Use of Personal Data
If the person identified by Personal Data held by TSLO, or their representative, requests notification of the purpose of use, disclosure, correction, deletion, or discontinuation of use, of the Personal Data of the identified person, TSLO will respond to the request in accordance with the provisions of the Personal Information Protection Act after confirming that the request is actually made by or on behalf of the identified person. TSLO may request payment for the actual costs involved or a reasonable fee for the request.
7. Modification of this Policy
TSLO may modify and revise this Personal Information Protection Policy as necessary. Any modification or revision will be posted on TSLO’s website.
